Based in Los Angeles, the Gallery Assistant position is a full- time position that requires great attention to detail, excellent organizational skills, diplomacy, and excellent communication skills. The Gallery Assistant interacts regularly with the public as the first point of contact and is expected to be a self-starter; and able to act independently and collaboratively as projects require. Responsibilities: Maintain constant presence at front desk as first point of contact for all visitors Answer, route, and log incoming phone calls Welcome clients and gallery visitors Update contacts in database Maintain gallery calendars, appointments, tracks special events and visitor statistics Handle all incoming and outgoing mail, including FedEx, USPS, and messenger services Oversee and maintains book inventory including cataloguing, sale of books and storage Maintain book displays, exhibition materials and signage Ensure gallery is always neat for every occasion, maintaining the high standards of gallery appearance both during exhibitions and in between shows, across all space front and back of house Assist with art fair preparations Assist in assessing equipment needs, reserves and coordinates rentals, as necessary for special events Assist with preparations for and works all gallery events including managing guest lists, distributing invitations and physical set-up, and dismantling of furniture Coordinate appropriate hospitality for gallery dinners, lunches, and group visits Provide administrative support to the Downtown Los Angeles or West Hollywood team Prepare bespoke sales materials as requested by the Sales team Works in constant communication with either the Downtown Los Angeles Gallery or the West Hollywood Gallery depending on location. Assistants to ensure both spaces are working in concert Requirements & Skills: Fast and continuous work pace with variable workload Frequent contact with staff and public under a variety of circumstances Five-day work week, with overtime as required, nights and weekends Must possess a valid Driver’s License Role supports both Downtown and West Hollywood locations, travel between both locations required #J-18808-Ljbffr
