Assistant Project Manager – Construction

About the Position

We are seeking a highly organized, detail-oriented, and proactive Assistant Project Manager (APM) to join our construction team.

The Assistant Project Manager will play a critical role in coordinating and tracking construction projects from contract award through final completion and closeout . This position will work closely with the Project Manager, Superintendent, subcontractors, vendors, suppliers, customers, and internal departments to ensure projects are completed on time, within budget, according to plans and specifications, and to the company's quality standards .

The ideal candidate is someone who naturally takes ownership, follows through on commitments, communicates well, identifies problems before they become issues, and can manage multiple priorities in a fast-paced construction environment.

This is a hands-on project coordination role. The successful candidate will be expected to stay on top of the details and make sure that nothing falls through the cracks.

Key Responsibilities

1. Project Startup & Handoff

Assist the Project Manager with transitioning projects from estimating/sales into active construction.

2. Preconstruction & Planning

Coordinate the administrative and logistical requirements necessary to prepare a project for construction.

3. Project Scheduling & Coordination

Help maintain the project schedule from start to finish.

4. Procurement & Material Tracking

Ensure materials, equipment, and services are ordered and delivered when needed.

5. Subcontractor & Vendor Coordination

Assist in managing subcontractors and vendors throughout the project.

6. Project Documentation & Communication

Maintain accurate and organized project documentation throughout construction.

7. Change Orders & Scope Management

Assist the Project Manager in identifying, pricing, documenting, and tracking changes to the original scope of work.

8. Project Cost & Budget Tracking

Assist with maintaining financial control of projects.

9. Construction Phase Support

Work closely with the Project Manager and Superintendent throughout active construction.

10. Quality Control & Issue Tracking

Help ensure work is completed correctly and deficiencies are addressed promptly.

11. Customer & Client Communication

Assist in maintaining a professional and positive customer experience.

12. Inspections & Project Milestones

Track required inspections, approvals, and project milestones.

13. Project Completion & Punch List

Assist with bringing the project from substantial completion to final completion.

14. Project Closeout

Ensure every project is properly closed out and all required documentation is complete.

Daily & Ongoing Responsibilities

The Assistant Project Manager is expected to consistently:

• Maintain accurate project records.
• Monitor schedules and deadlines.
• Follow up on outstanding items.
• Communicate proactively with the project team.
• Identify problems before they become emergencies.
• Keep the Project Manager informed of project risks.
• Maintain organized project files.
• Track commitments and ensure people follow through.
• Protect the company's schedule, budget, scope, and customer relationships.
• Take ownership of assigned projects and tasks from beginning to completion.

Qualifications

Required

• 2+ years of construction, project coordination, project management, or related experience preferred.
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills.
• Strong attention to detail.
• Ability to manage multiple projects, deadlines, and priorities.
• Ability to read and understand construction plans, specifications, and scopes of work.
• Proficiency with Microsoft Office, including Excel, Outlook, Word, and Teams.
• Ability to learn and utilize construction/project management software.
• Strong problem-solving and follow-through skills.
• Ability to work effectively with field personnel, subcontractors, vendors, customers, and internal teams.

Preferred

• Experience working for a general contractor, specialty contractor, or construction company.
• Experience with construction scheduling and project management software.
• Experience with estimating, purchasing, change orders, or job costing.
• Knowledge of construction contracts and subcontractor agreements.
• Experience coordinating residential or commercial construction projects.
• OSHA or other construction safety training.

• RFIs, submittals, selections, and approvals are tracked and resolved.
• Project schedules remain current and potential delays are identified early.
• Change orders are documented, priced, approved, and tracked.
• Project costs and commitments are accurately tracked.
• Customers receive timely and professional communication.
• Project documentation is complete and organized.
• Punch-list items are closed quickly.
• Projects are properly closed out with all required documentation.
• The Project Manager and Superintendent always know what is happening, what is coming next, and what needs attention.

Compensation & Benefits

Compensation: $75,000-$90,000 annually, depending on experience
